Booking Terms and Conditions
Wildlife Conservation is what we do, and we try to be as efficient as possible with everything else to ensure the maximum energy and funding is directed towards this work.
These booking terms and conditions help limit unnecessary worry and cost for everyone. It's all common sense and there's nothing unusual, but it's always a good idea to take a moment to read and understand them before booking.
RESERVATION AND PAYMENT
Payment of a deposit or in full becomes due immediately on booking, Bookings are not confirmed until the payment is received.
We are unable to reserve places for more than two working days without receipt of the due payment.
Group bookings can be made and are encouraged by prior arrangement, please contact us for further details.
A £200 non-refundable deposit is required for each Wild Days Conservation project booked. The balance must be paid eight weeks before the project start date. All bookings made eight or fewer weeks prior to the start date of the project must be paid for in full.
Payment for all projects can be made by
- direct BACS bank transfer;
- cheque drawn on a UK bank account in £ sterling (GBP);
- a range of credit and debit cards.
Refunds due will be paid by the same method as initial payment.
Under Wild Days Conservation's insurance policy you have public liability cover and limited personal accident cover while engaged in practical conservation work. You are not covered by our insurance when undertaking other activities, during your free time. Personal belongings are not covered under Wild Days Conservation's insurance.
TRANSFERS AND CANCELLATIONS
Please only book a project if you are certain you can attend. If you have no alternative but to transfer or cancel your booking, the following conditions are applicable:
If you wish to transfer your booking to a different project, please inform us at least eight weeks before the start date of your original choice. We will transfer your payment minus a £25 administration charge. Failure to do so will result in cancellation charges.
If you need to cancel your booking, you must inform us IN WRITING. Other forms of cancellation cannot be accepted. If you cancel over ten weeks before the start of your project, we will refund your project payment minus the £200 non-refundable booking deposit. After that, we will started incurring significant costs (e.g. for accommodation transport and catering) and so you agree to pay a percentage of the total cost reflecting this as indicated below:

You will be sent an invoice for the outstanding balance.
If you need to cancel your place at the last minute, please use the emergency number supplied on detailed project information.
On occasion, we are forced to cancel a project ourselves (for instance if bookings fall below the minimum number required or mother-nature intervenes). We endeavour to let you know beforehand, when an alternative or full refund will be offered. We are not however, responsible on such occasions for any non-refundable travel tickets or other payments and penalties that you may incur as a result.
GENERAL CONDITIONS OF BOOKING
Valid passports and visas are entirely your responsibility. If you have to apply for a visa to enter the UK, ensure you understand the conditions of entry and allow sufficient time.
It is your responsibility to ensure that you have an up-to-date tetanus inoculation and to ensure that you have declared any medical conditions, allergies and past injuries to Wild Days Conservation. Our leaders will treat any such medical information confidentially.
Wild Days Conservation and our partners take all care in programme planning but no responsibility will be accepted for any variation due to circumstances beyond our control. We will always endeavour to inform you of changes in advance where this is possible.
Non UK residents are welcome to take part in all Wild Days Conservation projects provided that you:
- are 18 or over;
- speak sufficient English to understand instructions and safety information;
- apply at least six weeks before the start of the project;
- take responsibility for all travel arrangements to the meeting point given in the detailed project information.
During the project you are required, both morally and legally, to follow safe procedures to ensure that you and others come to no harm. Our health and safety procedures are there to protect everyone, as well as to comply with the law. Your leader will explain them fully.
We regret that NO pets may be brought on any Wild Days Conservation projects, due to the nature of work sites, the unsuitability of the accommodation and out of courtesy to other participants.
After booking and paying either online or by phone, you will receive an automated email confirmation of the payment made. This will be followed by a further email with details of the holiday booked.
When final payment becomes due, you will receive an email reminder.
Within six weeks of the holiday start, a full detailed briefing will be sent, including outline programme, meeting times, and more on what to expect and bring.

RIGHT OF REFUSAL
Wild Days Conservation reserves the right to refuse bookings. This is an unusual event, which may arise as a result of a failure to meet health requirements or in the interests of team compatibility. Wild Days Conservation will support the right of our leaders to send participants away from the project once it has started should their behaviour compromise the safety, project or general performance of the team. In this event no refund will be given.
The personal data we request from you during the booking process includes limited sensitive personal data, which Wild Days Conservation requires in order to provide its service to you. Sensitive personal data is defined as information relating to any of the following: racial or ethnic origin; political opinions; religious beliefs; trade union membership; health; sexuality or sex life; offences and/or convictions. In this case the primary concern is health information.
By reading and understanding these terms and conditions you have given your consent and are willing for Wild Days Conservation to process this data which will be used only within Wild Days Conservation for the purposes of the holiday you have booked. If we need to disclose any of this data outside the organisation we will seek your consent again.
We do not store credit card details nor do we share customer financial details with any third parties.
We're sure you'll have a great time with us, but just in case you do have any complaint, you should notify the Project Leader during the project so that Wild Days Conservation can do its best to assist you. If the problem remains unresolved despite this and you wish to write to us, this must be done within 14 days of the completion of the project. We will investigate and reply at the earliest opportunity.
